How do I get a professional reply without sounding cold?
Give the tool your actual decision first, then choose a tone. Acknowledge the person’s request, answer it clearly and ask for one useful next step where needed. Friendly wording should not introduce a discount, deadline or promise you did not approve.
Can it use earlier messages in the conversation?
This web tool uses only what you enter here. Paste the earlier parts that are relevant, after removing sensitive details. ToneBird for Mac and Windows can use available conversation context and relationship information while you draft in your own apps. It still needs access to the relevant context; it cannot know a conversation it has not received.
What should I do if the reply gets a fact wrong?
Correct the message or instructions, then generate again. Check every name, amount, date and commitment before copying the result. Edit the final draft directly when only a small detail needs changing. AI suggestions do not verify your records or someone else’s availability.
Can I write a new email instead of replying?
This tool is designed to respond to a message you received. If you are starting a new email, begin with the purpose, recipient and facts you need to communicate. Do not add a made up incoming message just to fit a reply form.
Can I reply in another language?
The web tool offers English, Spanish, Chinese and Japanese, or the language of the original message. Choose a language under Relationship and language. ToneBird also supports multilingual replies in the desktop app. Review important meanings, names and numbers before sending.
Why did I reach a limit after clearing my browser or using another device?
The web tool has separate daily limits for a browser and a shared network, plus short term and concurrent request limits. Clearing cookies does not reset the network allowance. People on the same office connection or VPN may share it. Daily allowances reset at 00:00 UTC; a limit message shows when you can try again.
Do retries and shorter replies use the allowance?
A generation uses one request when it is sent to the model, including requests for shorter or warmer wording. A cancelled request or provider error can still use one because processing may already have started. A request blocked by a limit does not use another generation. Your existing drafts remain editable and can still be copied.
What information is stored by the web tool?
Your message and instructions are sent to an AI provider when you generate. The tool’s usage ledger stores counts and keyed identifiers for the browser and network, rather than raw IP addresses or message text. Expired usage records are removed as the tool is used. Does ToneBird send messages or change my calendar automatically?
You choose a draft and Insert it, then send using your own app. Suggested to dos can help you keep track of requests; calendar changes require review and confirmation. Installing ToneBird does not authorize it to send a message for you.
